Pitch Laboratories ("we", "us", "our") operates the Sales Coach platform, which provides AI-powered real-time sales coaching and practice tools. This policy explains what data we collect, how we use it, who we share it with, and your rights regarding your data.
This policy applies to users of our web portals (app.pitchlaboratories.com), our Chrome browser extension, and any related services.
Information We Collect
Account Information
- Name and email address (for login, invites, and support)
- Role and team affiliation (agent, client admin, etc.)
- Password (stored hashed, never in plain text)
- Optional brand settings (company name, logo, brand color)
Sales Call Data
- Audio captured from your browser tab during active coaching sessions only (the extension does not record when you are not in a session)
- Transcriptions of your sales calls generated in real time
- Call metadata (duration, timestamps, outcomes, confidence scores)
- Session transcripts and AI-generated coaching suggestions
Practice Session Data
- Transcripts and AI-generated feedback from practice sessions
- Uploaded playbook files and their parsed sections
- Scoring, pass/fail results, and per-criterion evaluations
Usage & Operational Data
- Login timestamps, IP addresses, and browser/device info for security
- Error logs and performance metrics to keep the service running
- Aggregate analytics about feature usage
How We Use Your Information
- To provide real-time sales coaching during calls
- To generate practice scenarios and post-call feedback
- To show managers analytics and progress for their team
- To authenticate users and keep accounts secure
- To send transactional emails (invites, password resets)
- To fix bugs, improve the platform, and detect abuse
We do not use your data to train AI models for general-purpose use. Your call recordings and transcripts stay associated with your account.

Data Storage & Security
All data is transmitted over encrypted HTTPS connections. Passwords are hashed with bcrypt before storage. We follow industry-standard security practices, but no system is 100% secure.
- Live call audio is streamed to Deepgram for transcription and is not retained as an audio file by us
- Call transcripts and metadata are stored in our database (hosted on Railway in the United States)
- Uploaded files (playbooks, logos) are stored securely in Cloudflare R2
- Access is scoped to your team — your organization's data is separated from other organizations
Data Sharing
We do not sell, rent, or trade personal information. We share data only in these cases:
- With the third-party processors listed above, as needed to operate the service
- With members of your own organization, according to their role (e.g., a manager can see their team's call transcripts)
- When required by valid legal process (subpoena, court order)
- In connection with a business transfer (merger, acquisition), with notice to users
Data Retention
- Account data is kept for the duration of your active account
- Call transcripts and recordings metadata are retained until your account is deleted or until you or your administrator deletes them
- Error logs in Sentry are retained for 90 days
- On account deletion, we remove your personal data within 30 days, except where retention is required by law
Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate information
- Delete your account and associated data
- Export your data in a machine-readable format
- Object to or restrict certain uses of your data
- Withdraw consent where we rely on consent for processing

Children's Privacy
This service is intended for business users. We do not knowingly collect personal data from anyone under the age of 16. If you believe we have collected data about a minor, please contact us and we will delete it.
International Data Transfers
We are based in the United States and process data there. If you are accessing the service from outside the US, your data will be transferred to and stored in the US. By using the service, you consent to this transfer.
Changes to This Policy
We may update this policy to reflect changes to our service or legal requirements. Material changes will be announced via email or in-app notice. The "Last updated" date above indicates when the policy was last revised.
